Sawyl Condition Record Standard
A framework for creating neutral, structured records of property condition at handover.
Purpose
The Sawyl Condition Record Standard defines how observable property conditions are captured, structured, and preserved. It operates at the evidence layer — below interpretation, judgment, or outcomes.
Principles
- Neutrality over advocacy — Records document what was observed, not what it means.
- Structure over narrative — Rooms and items follow a consistent schema.
- Immutability over convenience — Sealed records cannot be modified.
- Portability over lock-in — Records are designed for export and verification.
Record Structure
Each Sawyl record contains:
- Property identification
- Record type (move-in or move-out)
- Capture date
- Room inventory with structured items
- Item states (good, existing damage, not present)
- Observational notes
- Evidence attachments
- Attestation records
- Cryptographic seal
Standard Room Items
Each room captures the following elements:
- Walls
- Floor
- Ceiling
- Windows
- Doors
- Fixtures
- Cleanliness
Attestation
Acknowledgment reflects recognition of what was observed at the time of capture. It does not indicate agreement on interpretation or outcome. Counterparties may acknowledge the full record or flag specific items with written concerns.
Sealing
Once sealed, a record receives a cryptographic hash that verifies its integrity. Sealed records cannot be edited, altered, or supplemented. The seal timestamp and hash are preserved as part of the record.
Scope
The Sawyl Condition Record Standard is designed for move-in and move-out moments. It does not cover property management, financial transactions, legal determinations, or ongoing maintenance.
