What we collect

Sawyl collects only the information necessary to create structured property condition records.

• Account email address and authentication credentials
• Property identification details
• Structured room and item states
• Observational notes
• Evidence attachments (photographs)
• Attestation and acknowledgment records
• Upload activity logs for security and abuse investigation

How images are stored

Images uploaded to Sawyl are stored securely in private cloud storage. Images are not publicly accessible by URL. Access requires a time-limited signed URL generated by the platform. Signed URLs expire automatically.

Images are only accessible to the packet creator, parties with a valid verification link, and platform administrators performing moderation or abuse investigation.

Who can access your records

Records are accessible to the user who created them and, once sealed, to any party who holds the verification link associated with that record. Sawyl does not proactively share records with third parties.

Sealed records may be accessed by tribunal, court, or legal processes if required by law.

How we use your data

Data is processed only to operate the platform. This includes storing records, generating signed image URLs, providing verification links, sending account-related notifications, and performing content moderation.

Sawyl does not use personal data for advertising, profiling, or sale to third parties.

Data retention

Sealed records are preserved in accordance with the Sawyl Condition Record Standard and are not deleted when a user account is closed. This protects the integrity of records shared with counterparties or referenced in formal proceedings.

Non-sealed records, account data, and upload logs may be deleted upon account closure, subject to applicable legal obligations.

Your rights

You may request access to personal data Sawyl holds about you, or request correction of inaccurate data, by contacting us via the contact page. Requests will be handled in accordance with applicable privacy law.

Cookies and tracking

Sawyl uses only essential session cookies necessary for authentication. No advertising or analytics cookies are used.

Sawyl does not sell personal data.
